• General Membership Meeting

    Purpose of the General Membership Meeting:

    To Elect members of the Board of Directors, Cheer, and Football Boards who will promote the welfare of the children through sports; to obtain within a total of community an attitude which acknowledges the benefits gained by youth when engaged in athletic endeavors; to offer active participation in sports to all youth as well as encourage scholastic achievement by all who participate.

    Purpose of the Santa Clarita Valley Athlectic Assoctiation:

    The purpose of the association is to inspire youth to practice ideals of health, sportsmanship, and character. The association strives to bring the youth of the Santa Clarita Valley closer together through a common interest in sports, fair play and fellowship; to impart to the game elements of safety through intelligent and mature supervision and to keep the welfare of the children first and foremost.

    A Quick Histoty of the Association:

    Santa Clarita Valley Athletic Association is an all-volunteer, non-profit corporation. It has existed since 1965! Prior to 1965 the organization was known as the Newhall Saugus Athletic Club. We have a strong and deep rooted history, which we should all be proud of, and committed to continuing long into the future.

    Who Can Vote:

    Individuals who actively participate in the functions of the Association and satisfy at least one of the following criteria: coaches, trainers, team managers, parents of participants and officers in this Association, elected or appointed.

    BOARD OF DIRECTORS (Executive Board) POSITIONS OPEN FOR ELECTION:

    The Board of Directors manages the business of the Association and oversees the individual sports boards, which currently includes Cheer, Cross Country, Football, Track and Field East (Running Warriors) and Track and Field West (Lightning Warriors). Board of Director meetings are held the third Thursday after the first Monday of each month; per our by-laws, meetings must take place at least 4 times a year, but we usually meet about 9-10 times per year.

    *Elections for the Board of Directors are held every year, but the officers are up for re-election on a rotating basis. The officers below do not indicate the entire Board, just the positions that are up for re-election in 2010.

    TERM WILL BE FOR TWO YEARS

    Beginning January 1, 2010 and ending December 31, 2012

    VICE PRESIDENT: Incumbent: Eric Kaufman (seeking re-election)

    Duties:


    • Aid President in presiding over all meetings of the Board of Directors
      and General Membership
    • Perform such duties as are usually delegated to Vice
      Presidents
    • Be an ex-efficio member of all committees within the
      Association
    • Be an advisory member of each Sports Board and may
      attend their meetings to assist in coordination of activities between
      Sports Boards to avoid conflicts of interest
    • Perform other duties as directed by the President or
      the Board of Directors

    TREASURER: Incumbent: Will Gillespie (not seeking
    re-election)

    Duties:

    • Deposit all monies received, in the name of SCVAA Executive Board, in the SCVAA Board’s approved financial institution.
    • Maintain a master record of all monies collected and disbursed in the name of SCVAA by SCVAA.
    • Prepare reports on the financial condition of the entire SCVAA organizationand be prepared to present said reports at regular meetings of the Executive Board.
    • Follow the SCVAA Executive Board policies and procedures governing the deposit and disbursement of all monies
    • Assure the financial records of the entire SCVAA are accurate to aid in preparation and filing of the SCVAA’s year-end tax return


    CHEER SPORTS BOARD POSITIONS
    OPEN FOR ELECTION:

    The Cheer Sports Board shall meet as required to fulfill the duties and responsibilities of managing the activities of Cheer, as well as the other requirements of the SCVAA Board of Directors.

    Term will be for 1 year -
    - beginning January 1, 2010 and ending December 31, 2010

    Please note in regards to the Cheer Sports Board, several board members are not seeking re-election due to the fact that their children are graduating from the program. If you are interested in volunteering your time and efforts to this wonderful program, please see Tammy Klippenstein or Peggy Hill so that we may discuss how your skills will best be put to work. No cheer experience is required.

    DIRECTOR:

    Duties:

    • Chair all meetings of the Cheer Sports Board
    • Represent the Cheer Sports Board on the Board of Directors, General Membership meetings, special meetings, and special closed meetings Note: Board of Directors meet the third Thursday after the first Monday of each month; per our by-laws meetings must take place
      at least 4 times a year, but we usually meet 9-10 times per year.
    • Responsible for general supervision and administration of the Cheer Sports Board; this list includes but is not limited to sign-ups field allocation and assignments and expansion
    • Represent the Cheer Sports Board at the combined Football/Cheer Meetings (about once a month), and represent SCVAA Cheer at the PYCC (Pacific Youth Cheerleading Club) meetings (about once a month) Coordinate fund raising activities with the Board of Directors Vice-President

    SECRETARY:

    Duties:

    • Keep accurate minutes of Cheer Sports Board meetings, as well as be prepared to refer to minutes of previous meetings
    • Maintain an attendance record sign-in sheet of all Cheer Board meetings
    • Supply copies of the Cheer Board minutes, rules and regulations as directed by the Cheer Board
    • Responsible for notifying the Cheer Board members of meetings as directed by the Cheer Board
    • Coordinate the preparation of the calendar of events for the Cheer season
    • Perform other duties as directed by the Cheer Director or the Cheer Board

    TREASURER:

    Duties:

    • Deposit all monies received, in the name of SCVAA Cheer, in the SCVAA Cheer Board’s approved financial institution
    • Maintain a master record of all monies collected and disbursed in the name of SCVAA by SCVAA Cheer
    • Prepare reports on the financial condition of SCVAA Cheer and be prepared to present said reports at regular meetings of the Cheer Board or as requested by the Cheer Director
    • Follow the SCVAA Cheer Board policies and procedures governing the deposit and disbursement of all monies
    • Ensure that the Cheer Board submits a comprehensive forecasted budget for the upcoming season within ninety (90) days of the completion of the SCVAA Cheer season, or as requested by the Board of Directors
    • Assure the Cheer Board records are accurate to aid in preparation and filing of the SCVAA’s year-end tax return

    EQUIPEMNT/MERCHANDISE MANAGER:

    Duties:

    • Maintain proper supervision over the issuance, retrieval and inventory of all equipment and uniforms appropriate to SCVAA Cheer; coordinate its central storage with the Association’s Director
    • Assist the Cheer Director in informing the Board of Directors of purchases made for the proper operation of SCVAA Cheer
    • Provide an inventory of all equipment to the Association’s Board of Directors within ninety (90) days of completion of the SCVAA Cheer season.
    • Perform other duties as directed by the Cheer Director or the Cheer Board


    VOTING MEMBER AT LARGE:

    • Represent the Cheer Board as directed by the Director of Cheer
